Booking and Cancellation Terms

  • Bookings can be cancelled free of charge up to 21 days before the reserved date.

  • If the cancellation occurs 7-20 days before the reserved date, 50% of the total booking price will be charged.

  • If the cancellation occurs less than 7 days before the reserved date, the full price of the booking will be charged.

  • CreativeKaiku reserves the right to unilaterally cancel the booking no later than two weeks before the reserved date.

  • No-shows, late arrivals, or interruptions: The full booking price will be charged, and no refunds will be issued for unused services.

  • The number of participants must be confirmed no later than 7 days before the event, and billing will be based on this number.

  • The service provider has the right to change the content, schedule, or route of the event due to weather conditions or safety concerns.

  • In the event of force majeure, we will primarily strive to provide an alternative date or service.

These booking, payment, and cancellation terms apply to the event services and experiences provided by CreativeKaiku (hereinafter referred to as the “Service Provider”), which can be booked through our online store, email, phone, or through a reseller.

Making a Booking

Bookings or inquiries can be made via email, phone, or through our online store.

How to Make a Group Booking

If making a reservation via email or phone, please provide the following information:

  • Group Information: Group name, number of participants

  • Organization Information: Name of the booking organization, company ID, address, and billing information

  • Contact Person: Name, email address, and phone number

  • Trip Details: Desired date (date, alternative dates, and time), name of the trip

  • Meals: Desired meal options from our offerings, dietary restrictions, and allergies

  • Logistics: Desired starting point for the trip (if known), where the group is coming from, and where they are heading

  • Additional Notes: For example, any mobility restrictions

Confirming and Paying for a Booking

Cancellations can be made free of charge up to 21 days before the event start date. If a cancellation occurs 7-20 days before the reserved date, 50% of the total booking price will be charged. If a cancellation occurs less than 7 days before the reserved date, the full booking price will be charged. CreativeKaiku reserves the right to unilaterally cancel the booking no later than two weeks before the reserved date.

Payment methods will be agreed upon during the booking process and can include cash, debit card, major credit cards, or invoicing by prior arrangement.

The final number of participants must be confirmed no later than 7 days before the event. Billing will be based on the confirmed number of participants, unless there is an increase in participants, in which case we will also charge for the additional individuals. Please note that increasing the number of participants can only be done by confirming with us whether it is possible.

Cancellations and changes should be made in writing or by calling us at +35850 1583. We will always confirm changes and cancellations to our customers in writing (via email).

No cancellation fee will be charged in cases of serious illness, accidents, or the death of the customer’s close relative.

In other cases of illness, a doctor’s certificate must be presented.

No-show, Late Arrivals, and Unused Services

If a customer or group does not arrive at the agreed time (a “no-show”) or arrives late such that participation in the event or the execution of the event is no longer possible, the full booking price will be charged.

If part of the group does not show up or interrupts their participation, charges will be based on the confirmed number of participants.

No refunds will be issued for unused or interrupted services.

Meals

The confirmed number of participants for meal events and any dietary restrictions must be provided no later than 8 days before the event to ensure the availability of quality ingredients.

The booking price per participant includes consideration for food allergies, meals, and service. We do not serve alcoholic beverages at all.

Bringing your own drinks or food to events that include meals is not permitted unless otherwise agreed. Meals will be prepared over a campfire, and there may be limited space for customers’ own food.

Force Majeure

The service provider reserves the right to make any price and event changes before the written confirmation of the event and the right to change the course, duration, or route of all programs if necessary.

The service provider also reserves the right to postpone the fulfillment of its obligations if the performance is hindered by fire, strike, war, import or export bans, natural disasters, interruptions to general transportation or energy supply, or other factors that are beyond the parties’ control. If a customer’s trip is cancelled due to a force majeure event, the service provider has the right to charge for costs incurred by the cancellation.

The service provider reserves the right to change the route, schedule, or content of the event due to weather conditions or customer safety. The service provider is not liable for delays or cancellations caused by force majeure (e.g., regulatory orders, extreme weather conditions, labor disputes, widespread traffic disruptions, severe equipment breakdowns). In such cases, the service provider will primarily strive to offer rescheduling or alternative services; if that is not reasonably possible, refunds of amounts paid will be provided minus any already incurred, verifiable costs.

Liability Insurance

The service provider holds liability insurance for its operations. Customers participate in activities at their own risk and are responsible for compensating any damages caused by their own intentional or negligent actions. The service provider is not responsible for any damage to or loss of the customer’s personal belongings unless the damage results from the service provider’s gross negligence.

The service provider maintains an up-to-date safety customer file.

Customer Responsibilities

  • The customer agrees to follow the safety instructions provided by the guide.

  • The customer is responsible for ensuring that their health condition is suitable for the activity and that any illnesses or medications affecting safety are disclosed in advance.

  • The customer is responsible for their personal equipment unless otherwise stated in the event description.

Complaints

Any complaints should primarily be made on-site to the guide. Written complaints can be sent to info@creativekaiku within seven [7] days.

Applicable Law and Dispute Resolution

The service provider applies Finnish law. Consumer customers can take disputes to the Consumer Disputes Board. Other disputes will be primarily resolved through negotiation, and secondarily at the South Karelia District Court.
